Start with a deliverable
Name the artifact or action the workflow should produce. A content review queue is concrete; better marketing is too broad to test. Decide how someone will judge whether that deliverable is useful.
Check the inputs
List the required data, its source, and the accepted structure. Confirm whether the process needs an export, an account connection, or developer access. Use a sample before moving private data.
Inspect the human decisions
Identify who reviews recommendations and who can authorize changes. A draft result should carry its source and assumptions. Publishing, account changes, and communications need explicit operating rules.
Understand the costs
Include subscriptions, model usage where relevant, setup, maintenance, and support. A free guide does not make every external dependency free. Compare the full cost with the recurring work it replaces.
Run a bounded pilot
Choose one question and a limited dataset. Record the result, limitations, and the effort needed. Expand only when the team can reproduce the process and maintain it.
